Friends Trip Terms and Conditions

Hey there! We’re so excited to have you join the Unapologetically Childfree adventure. To make sure everything goes smoothly and you have the absolute best experience, we’ve put together some friendly guidelines to help you know what to expect.

 1. Trip Details and Confirmation

 Trip Confirmation: 

Our trips are intimate, with small groups to make everything personal and special. We’ll confirm the trip once enough guests have signed up and let you know at least 30 days before departure. If we don’t have enough travelers, don’t worry—you’ll get a full refund (minus any bank fees). If the trip gets rescheduled, you can either apply your payment to the new dates or request a refund.  

   

 Travel Arrangements: 

Many travel experts we follow recommend booking flights around 4 months prior to departure. If you decide to do this, we highly recommend adding an additional rider to your required travel insurance to cover the cost of your airfare if the event is canceled by the host. If you decide to hold off on booking your flights until we confirm the trip, know that this may increase your travel costs. If you plan on arriving early or extending your stay, we’re happy to give you some tips on things to do—but any extra days will be at your own expense.

 Visas: 

It’s your responsibility to get the necessary visas for the trip. If there’s a visa issue, unfortunately, we can’t offer refunds—so make sure you’re all set before we go.

 Currency and Pricing: 

If USD is not your home currency, keep in mind that exchange rates may fluctuate slightly influencing your final price. This is out of our control and just something to be aware of!

 Flight Details: 

We offer airport transfers as part of your package, but we’ll need your flight details at least 20 days before departure to set everything up. If we don’t have your info in time, we might not be able to arrange your transfer—so don’t forget to send us your details!


 2. Payment and Cancellation

 Payments: 

To lock in your spot, you’ll make an initial deposit, with the balance due either in full or separated in 2-3 equal payments (at no additional cost to you).. Once the trip is confirmed, payments become nonrefundable, but if we can’t fill the group, we’ll refund everything (minus any bank fees). 

 Refunds & Transfers: 

Payments can’t be refunded or transferred to another trip due to personal reasons (like weather, illness, or emergencies). We REQUIRE travel insurance to cover unexpected situations. We’ll need proof of insurance 30 days before departure, and without it, we may have to cancel your booking without a refund.

 Transfer to Another Guest: 

Can’t make it after all? You can transfer your spot to another childfree person up to 30 days before the trip—just let us know! Any additional costs for changing the name or details will be your responsibility.

 Late Arrivals or Missed Days: 

If you arrive late or miss part of the trip, no worries—we’ll welcome you when you get there, but unfortunately, we can’t offer refunds for missed time. Any extra costs to catch up with the group will be at your own expense..

 If We Cancel: 

If we have to cancel due to not meeting the minimum number of guests needed,, you’ll get a full refund (minus bank fees).. However, we aren’t responsible for any personal expenses, like flights and additional accommodations you booked on your own, will not be refunded.


 3. Vaccination Requirements

 Vaccinations: 

Some destinations may require certain vaccinations. If you can’t provide proof of the necessary vaccinations, we’ll have to cancel your spot without a refund.

 COVID19: 

You’ll need to provide proof of your primary COVID vaccine before joining the trip. As of January 2024, boosters are not required but highly recommended. If you’re feeling under the weather once you arrive, we will ask you to wear a mask and maintain some distance for everyone’s safety. While COVID tests aren’t mandatory, they’re always a good idea for peace of mind!

 Local Regulations:

Please follow any local COVID regulations, which may include testing or quarantine. We can’t offer refunds if you’re denied entry due to these requirements.

 4. Photos and Videos

 Say Cheese! We’ll be taking photos and videos throughout the trip—especially during our Childfree Connection Dinner (with a professional photographer!). By joining us, you agree to let us use your lovely face in our promotional materials (don’t worry, we’ll make sure you look fabulous!). 


 5. Accommodation

 Private Rooms: 

We get it—privacy matters. Each guest will have their own room, and if you’re bringing a cuddle buddy, there’s an additional charge, but they’ll get a nice discount for sharing!

 Your Stuff: 

We do our best to keep everything safe, but you’re responsible for the security of your belongings while on the trip..


 6. Special Needs and Accessibility

 Health and Dietary Needs:

 If you have any dietary restrictions, allergies, or medical conditions, please let us know in advance so we can do our best to accommodate you. In some cases, we may ask for a medical certificate to ensure your safety. If we can’t meet your needs, we may have to cancel your booking, but we’ll work closely with you to avoid that. 

Travel Insurance:

We require all guests to have travel insurance! Your insurance should cover things like repatriation, COVID-19, and medical care while you’re with us. We also recommend adding a host cancellation rider to cover any extra costs, like flights, in case the trip does not happen. Please make sure to send us proof of your insurance at least 30 days before departure — if we don’t receive it, we’ll have to cancel your booking, and unfortunately, no refunds will be given.

 7. Liability Waiver

 Your Responsibility: 

While we’re committed to making your trip safe and enjoyable, there’s always some risk with travel. By joining us, you agree to release Unapologetically Childfree with Maggie Dickens from any claims related to the trip. You’ll need to sign a waiver before we start our adventure.


 8. Alcohol and Drugs

 Enjoy Responsibly: 

Have fun, but please be responsible with alcohol and avoid any drug use. If this becomes a problem, we reserve the right to end your trip early without a refund.

 9. Payment Deadlines

 Secure Your Spot:

 Please make sure to pay on time! If a payment deadline is missed, your booking may be canceled without a refund.

 10. Uncontrollable Events (Force Majeure)

 Life Happens: 

Sometimes things beyond our control—like natural disasters or pandemics—might affect the trip. In those cases, we may need to adjust or cancel the itinerary, and we won’t be held responsible for these changes. 

 11. Complaints

 Let’s Fix It: 

If something’s not right during your trip, please let me know as soon as possible so we can address it. For formal complaints, you can always reach us at hello@maggiedickens.com with the subject line:  “Complaint re: [destination]” and we’ll look into it right away.

 12. Legal Information

 Our Role: 

We help arrange your trip but aren’t responsible for delays, losses, or damages beyond our control. If any disputes arise, they’ll be handled in Texas, USA under U.S. and Texas state law.

 13. Price Changes

 Heads-Up on Pricing: 

Prices are listed and charged in USD. Your final price will based on the exchange rate at the time of each payment. Exchange rates are outside of our control and handled through your payment processor.
